Fees, cancellation, and unfinished hospital work

What these rules cover

They apply to hospital operations reviews, theatre session analysis, outpatient flow mapping, and monthly occupancy briefings. They do not apply to goods, courses, or software licences, because we do not sell those.

Eligibility

A refund is available when we have not started the work you paid for, or when we cancel an engagement for reasons on our side (illness covering the whole visit week with no substitute colleague, or an error in the quote). A partial refund is available when some visits or drawings have already been done, as set out below.

Timeframe

Ask in writing to hello@parserstreamgrid.digital within fourteen days of the event you rely on (a cancelled visit week, a pack you reject as not matching the quote, or a monthly pack you wish to stop). Monthly retainers may be ended at the close of a paid month; we do not rebate unused days inside a month already begun unless we failed to deliver the pack.

Full refund

• A deposit, if we have not reserved colleagues or travel and you cancel more than ten working days before the first visit.
• Any sum paid, if we cancel and cannot offer a new date within twenty working days.

Partial refund

• Cancellation between ten and three working days before the first visit: fifty percent of the deposit is retained to cover preparation of extracts and scheduling; the rest is returned.
• Work already started (a ward walk completed, lists already drawn): we invoice for days used at the implied daily rate in the quote and refund the unused remainder. The incomplete drawings stay with you if you want them; we do not finish them without a new date.

Non-refundable items

• Printed boards already produced for an operations room, at cost as itemised.
• Travel tickets purchased for a regional visit after you asked us to book them.
• A monthly pack for a month already delivered.

Process

Write to hello@parserstreamgrid.digital with the engagement name, the hospital, and whether you are cancelling, rescheduling, or requesting a refund. We confirm within five working days and pay any refund within fourteen working days after that confirmation.

Method and processing time

Refunds go back by the same method as the original payment where possible, in Georgian lari. Bank processing may add a few days beyond our fourteen.

Cancellation and rescheduling

You may move a visit week once, with five working days’ notice, without extra fee if we can place the days in the following six weeks. A second move, or a move with less notice, may be charged as a unused day. We will reschedule for infection-control closures at no extra fee.

Deposits

Thirty percent holds a visit week. It is credited to the final invoice if the work proceeds.

No-shows

If the named host is absent and no lists or escort are available, the day is treated as used. We will wait two hours on site before leaving.

Work already started

Once a ward has been walked or lists have been drawn, that portion is payable. We will not discard the work to manufacture a full refund.

Materials

Printed briefing packs included in a full review are part of the fee. Extra copies are billed at cost and are not refundable once printed.
